You’ve said “yes” and you’re finally ready to start planning. The Pinterest boards are filling up, your group chat is buzzing, and suddenly everyone has an opinion on where you should say “I do.” Before you start booking tours or falling in love with a space that doesn’t fit your vision, take a breath.
At The Social Edit, we’ve helped countless couples find their dream venue, and we’ve seen how the right questions can save you stress, time, and money. This guide will walk you through the five things every couple wishes they knew before touring wedding venues.

1. Know Your (Rough) Guest Count Before You Tour
It might seem early, but your guest list determines almost everything about your venue options. A space that looks perfect online might feel cramped with 150 people or too empty with 50.
Before booking a tour, create an A-list (must-invite guests) and a B-list (nice-to-have guests). This helps you:
Identify venues that fit your actual capacity needs.
Understand catering and seating requirements.
Stay realistic about your budget, since pricing often depends on headcount.
A planner can help you visualize what those numbers look like in real space. Remember, a venue that feels comfortable and well-balanced always photographs and flows better.
We get it: we want all our favorite people present on our big day. A quick rule of thumb we share with our couples when working through the guest list is:
If you would be upset or would find yourself missing someone if they weren’t present on your wedding day, they go on the A-list. If you wouldn’t miss them (even if you would like for them to be there!), then they go on the B-list.
2. Understand What’s Included (and What’s Not)
One of the biggest surprises couples face is realizing how much the “beautiful blank canvas” actually costs to fill. Ask every venue exactly what’s included in their rental.
Key questions to ask:
Are tables, chairs, and linens provided?
Do you include setup and breakdown staff?
Is there on-site catering or a required vendor list? (This is SO important! Required vendors can be amazing, but may not be ideal for all couples.)
Are there any hidden fees such as cleaning, overtime, or service charges?
What time can vendors access the space for setup?
Are there any restrictions? (real candles, confetti, sparklers, etc.)
Sometimes a slightly higher-priced venue with built-in amenities is actually the better deal. Full-service venues simplify logistics and often create a smoother experience on the wedding day.
3. Pay Attention to Light and Layout
When you step into a space, take a moment to notice the natural light. Light determines how your photos look, how your guests feel, and how your overall decor comes together.
Tips for assessing a venue’s visual flow:
Visit during the same time of day as your ceremony if possible.
Ask where sunset falls for the best photo opportunities.
Look for neutral or complementary tones that align with your color palette.
Imagine where guests will move between ceremony, cocktail hour, and reception.
Beautiful architecture is only one piece of the puzzle. Visual and physical flow is just as crucial and often overlooked.

Your venue’s social media pages will be the best way to get specific inspiration to what looks good at your wedding venue.
4. Consider Logistics as Much as Aesthetics
It’s easy to fall in love with chandeliers and sweeping staircases, but logistics matter just as much as looks. The most elegant venue can become a challenge if guests can’t find parking or the restrooms are a hike away.
Practical details to evaluate:
Parking availability and accessibility for guests.
Proximity to hotels or transportation for out-of-town attendees.
Sound restrictions, curfews, and noise ordinances.
Temperature control if you’re planning an outdoor or tented event.
Power sources for lighting, music, and catering.
When you picture your wedding day, think about flow. How easily can people move, find their seats, or get a drink? Small details like these are what make a guest experience feel seamless. A wedding planner or coordinator is a GREAT person to work with for this.
Another important question you need to ask: When can you access a venue rental?
In our experience, it is worth it to pay a little more (if you can) to have access to the venue all weekend vs. one day only. Why? You can set up the day prior, make sure everything is set up exactly how you want (and even save money vs. paying venue or coordinating staff to do so), as well as use the property for your rehearsal/rehearsal dinner. On Saturday, you can leave personal items on property so no family members have to worry about cleaning up or packing cars, then send them back Sunday morning to retrieve everything!
5. Book Early (But Only After You Feel Like It’s “The One”)
Once you find a space that fits your vision, it’s tempting to sign immediately. Before booking, make sure you’ve:
Visited at least two to three venues for comparison.
Read the full contract and asked about refund or date-change policies.
Talked through your layout ideas with your planner or coordinator.
Checked available dates with other key vendors like photographers or bands.
Most venues in the Lexington, Kentucky area book 12 to 18 months in advance, especially for prime weekends. Once you’re sure, secure your date quickly. The earlier you book, the more flexibility you’ll have in designing the rest of your dream day.
